Controlling and analysing expenses in large organisations with operations in B2C, B2B and B2G

Problem

Many large businesses with retail, wholesale, and commercial operations struggle to control and analyse employee expenses across various departments. Sales teams from retail, distribution, and architectural sectors have unique expense patterns, making it difficult for accounting teams and controllers to track what qualifies as a valid expense for each individual.

Solution

I designed a user-friendly web app that streamlines expense submission. Employees can easily categorise expenses and send them to their supervisors for approval (or rejection). Their supervisors can then send them along with any necessary comments for the controller to process. 

This tool brings much-needed control to management while reducing the workload for both sales teams and accounting departments.  Supervisors can customise settings for their teams and set limits for specific expense categories. The app eliminates paper receipts, allowing users to submit expenses on the go by snapping a photo of a receipt, selecting an image from their gallery, or uploading a PDF invoice. The app also calculates the remaining amount they need to provide receipts for.

Additionally, users can track their monthly balance, see bank statements, review past expenses, and download them in xls format for any or all categories and dates. With a mobile-friendly, interactive onboarding process and a table of contents, the app is designed to be intuitive for users of all ages.
